Privacy policy

Last updated: October 19, 2026

This policy explains what Rangestone Property Services ("we") collects through this website and how we use it. We've written it in plain language.

What we collect

When you submit the consultation request form, we collect:

  • Your name and role
  • The organization you're contacting us for (HOA, association or property owner) and its property management company, if any
  • Property or community name, street address, city and ZIP code
  • Property type, areas to maintain and approximate size (or number of properties)
  • The services and seasonal items you're interested in, and how often you'd like service
  • Your current arrangement: current provider, contract end or renewal date, and whether a bid or RFP is in progress
  • Who approves the decision
  • Site constraints for a site walk (such as gated entry, hours or parking, never codes), preferred times, and any notes you add
  • Your email address and phone number
  • The date and time of your request and your agreement to this policy

Our web host may also process standard technical data (such as IP address and browser type) to deliver and secure the site. This site uses no analytics, advertising cookies or tracking pixels. If that changes, we'll update this policy first.

What we don't collect

We do not want gate codes, door codes, alarm codes, key or lockbox details, irrigation-controller logins, passwords or other security information through this website. If something that looks like that is entered in the form, it's removed automatically before your request is stored. Access arrangements are handled separately and securely only after a signed service agreement.

How we use it

  • To reply to your request, confirm your details and arrange a consultation
  • To decide whether your property is within our services and service area
  • To prepare a site walk and proposal if you'd like one
  • To follow up about your request (you can ask us to stop at any time)
  • To keep business records of enquiries

We don't sell your information, and we don't share it for other companies' marketing.

Who can see it

The people who handle enquiries for Rangestone Property Services, and the service providers we use to run the business (for example website hosting and business email/document storage), only as needed to provide those services. If we bring in an independent service provider (for example for grounds maintenance or a specialty service) to quote or serve your site, we share only what they need about the site and schedule. We may disclose information if required by law. If the business is ever sold or transferred, enquiry records may transfer with it, subject to this policy.

The service provider that processes your form submission for us is Cloudflare. When you submit the form, it goes to our website on Cloudflare, where a Cloudflare function saves your request (the details you entered, with any access-like text removed, plus a reference number and the time received) in a Cloudflare D1 database. Rangestone then retrieves it from there over a secured, access-controlled connection and logs it in our own internal records and customer database (CRM), where we keep enquiries. Your form submission is not sent to Google or any other service, and submitting it does not trigger any automatic email or notification. The copy stored in Cloudflare D1 is deleted 30 days after we've retrieved it; that deletion runs automatically during our regular retrieval checks. If we add another service to this process, we'll update this policy first.

Submitting the form does not send you an automatic email. You'll see a confirmation on screen, and a person reviews your request and replies by email.

How long we keep it

If you don't become a customer, we keep your request for up to 12 months after our last contact, then delete it. Customer records are kept for as long as needed for the service relationship and for tax and legal record-keeping.

Your choices

You can ask us to see, correct or delete the information you've sent us, or to stop contacting you, by emailing rangestonepropertyservices@gmail.com. We'll respond within 30 days.

Security

We use reputable providers and limit access to the people who need it. No method of transmission or storage is perfectly secure, which is one reason we ask you not to send security codes.

Changes

We'll post any changes here with a new effective date.
